We use trusted artificial intelligence (“AI”) tools and workflow automation platforms to help operate more efficiently and enhance your experience. These tools may support tasks such as organizing information, streamlining workflows, and facilitating communication. Capitalized terms such as ‘Sites’ and ‘Services’ are defined solely for purposes of this Privacy Notice and may differ from how those terms are used in our Terms of Service.

This Privacy Notice governs the processing of personal information in the United States, Canada, and as outlined in Section 7. It will be updated to reflect any changes in our data practices. By continuing to use our Sites or Services, you acknowledge and agree to the terms of this Notice; if you do not agree, you should discontinue use.

This may include intellectual property, confidential business information, or personal information (PII) contained within the materials provided.

Information That Does Not Identify You

You are not required to provide personal information in order to use our Services. However, we may collect certain information that cannot be used to directly identify you. This type of data is often called non-personal information or aggregated information. Although it does not identify you individually, we believe it is important to be transparent about how we collect and use it.

Examples of non-personal information we may collect include:

  • The website you visited before coming to our Services (the “referring URL”).

  • The type of browser or device you are using.

  • The date, time, and length of your visit.

  • General usage patterns and interactions with our Sites or Services.

  • Aggregated or de-identified demographic or profile information from trusted third-party providers.

How we collect this information:

  • Through technologies such as cookies, clear gifs, pixel tags, and web beacons that help us understand how users interact with our Services.

  • By using cookies that may be “session” cookies (which expire when you close your browser) or “persistent” cookies (which remain until you delete them). These tools help us improve our Services, track general usage, and remember your preferences.

We use this type of non-personal information to analyze trends, improve the quality of our Services, and better tailor your experience. We do not attempt to re-identify aggregated or de-identified information, and we handle this data in accordance with the same principles of transparency and responsibility that guide our use of personal information. For more detail, please see the section below.

2.      Cookies and Similar Technologies

We use cookies and similar technologies (such as pixel tags, clear gifs, and web beacons) to help improve our Services and understand how they are used. A cookie is a small text file that is placed on your device when you visit a website. Some of the non-personal information described above is collected through these technologies.

Why we use cookies:

  • To remember your settings and preferences.

  • To analyze traffic and usage trends.

  • To improve the performance, functionality, and security of our Services.

Types of cookies we may use:

  • Session cookies – temporary cookies that expire once you close your browser.

  • Persistent cookies – remain on your device until they expire or you delete them.

You can manage or disable cookies through your browser settings. Please note that some features of our Services may not function properly if you choose to disable cookies.

3.    How We Use Your Information

We use the information we collect for the following purposes:

  • Service delivery and improvement – to provide the services you request, enhance your experience, and continually refine how we work.

  • Operational efficiency – to manage tasks, streamline workflows, and improve processes through trusted automation tools.

  • Communication – to respond to your questions, requests, or feedback in a timely and helpful way.

  • Security and compliance – to protect our systems and meet legal, regulatory, and contractual obligations.

We also use artificial intelligence (“AI”) tools to support some of these activities. For example, AI may help us organize information, automate routine tasks, or improve the way services are delivered. We share only the minimum amount of information needed with these tools, and we actively monitor their use to ensure your data is handled responsibly.

We use the information provided to us solely to deliver and improve our Services, and we do not use client-provided credentials, data, or files for any other purpose.

Importantly, we do not rely solely on AI to make decisions about you that could have legal or similarly significant effects—all such decisions involve meaningful human oversight.

4.    Use of Artificial Intelligence (AI)

Our approach to AI is centered on using trusted, ready-made solutions rather than building our own models from scratch. This means we rely on established third-party tools such as large language models, assistants, copilots, agents, APIs, and workflow automation platforms (such as Airtable, Zapier, Make, Pipedream, and n8n). We may also use integrated AI features in collaboration platforms (such as Zoom AI for meeting transcription). We configure, deploy, and carefully monitor these tools to ensure they are used responsibly, securely, and in ways designed to respect user privacy.

To protect your privacy, we follow these practices:

  • Data minimization – we limit the personal information shared with AI tools to only what is necessary for the task.

  • Review and monitoring – we check outputs to help ensure results are accurate, appropriate, and aligned with our standards.

  • Human oversight – we do not rely solely on AI to make important decisions; meaningful human involvement is always applied.

  • Provider accountability – we require our service providers to handle information in compliance with applicable privacy and data protection laws.

As AI technology evolves, we may expand the ways we use it. If we make material changes, we will update this Privacy Notice to reflect our current practices.

5.    Data Sharing and Disclosure

We do not sell your personal information. However, we may share it in limited circumstances, including:

  • With trusted service providers – We work with third-party providers that help us deliver and improve our Services. These providers may need access to client information, data, and files in order to help us provide and deliver our Services. All such providers receive only the information reasonably necessary to perform their services and are required to handle it responsibly and in accordance with this Privacy Notice.

  • With other third-party vendors – We also rely on vendors such as AI tools and platforms, workflow and automation platforms, cloud computer providers, productivity and collaboration platforms, email services, and security tools to support our operations. Please click on this link to see a list of the third-party vendors we use for our Services and links to their privacy policies. Our list of providers may change over time, but we only engage vendors that agree to handle information securely and in compliance with applicable privacy and data protection laws.

  • For legal, regulatory, or safety reasons – We may disclose information when required by law, to respond to lawful requests, or to protect our rights, safety, or the rights and safety of others.

  • As part of a business transaction – If our company is involved in a merger, acquisition, reorganization, or similar event, your information may be transferred as part of that process, with appropriate safeguards in place.

We will update this Privacy Notice if our use of service providers changes in a way that materially affects how your personal information is handled.

6.    Children’s Privacy (COPPA Notice)

Our Services are not directed to, and we do not knowingly collect personal information from, children under the age of 13. If you are under 13, please do not provide any personal information through our Sites or Services.

If we become aware that we have collected personal information from a child under 13 without verified parental consent, we will delete that information as quickly as possible.

If you believe we may have collected information from a child under 13, please contact us at privacy@whyofai.com.

7.    International Data Transfers

We currently process most personal and business information in the United States. Some information may also be received from Canada, which we handle in accordance with this Privacy Notice and applicable privacy laws. In addition, certain trusted third-party service providers and vendors that support our Services may be based in, or may store and process data in, countries outside of the United States and Canada.

When we transfer personal or business information internationally, we take steps to ensure it remains protected — including the use of appropriate safeguards such as adequacy decisions, standard contractual clauses, contractual commitments, or other measures required by law.

Because our service providers and vendors may update or expand their data center locations from time to time, we cannot always specify every country where processing may occur. However, in all cases your personal or business information will be handled in accordance with this Privacy Notice and applicable privacy laws. We will also update this Privacy Notice to reflect any significant changes in how your information is handled.

8.    Security of Your Information

We take the security of your personal information seriously and use reasonable technical, organizational, and administrative measures to help protect it from unauthorized access, use, or disclosure.

Our security practices include:

  • Using trusted third-party vendors and platforms that follow industry-standard security practices.

  • Limiting access to personal or business information to only those who need it to perform their work.

  • Monitoring and reviewing how AI tools and automation platforms are configured and used.

  • Applying safeguards such as encryption, secure storage, and regular system updates.

While we take these steps to protect your information, no system or method of transmission over the internet can be guaranteed to be 100% secure. If a security incident occurs that affects your information, we will act promptly and, where legally required, notify you of the incident.

Your responsibility: To help keep your information safe, you are responsible for maintaining the confidentiality of any login credentials or account details associated with our Services, and for notifying us promptly if you believe they have been compromised.

9.    Data Retention

We retain personal information only for as long as necessary to provide our Services, meet legal or regulatory obligations, resolve disputes, or enforce our agreements.

When determining retention periods, we consider factors such as:

  • The type of information and the purpose for which it was collected.

  • Whether it is still needed to deliver Services or support business operations.

  • Legal, tax, and regulatory requirements for recordkeeping.

  • Security needs, including backup and recovery processes.

When personal information is no longer required, we will securely delete it or anonymize it so that it can no longer be linked to you.

10.       Your Privacy Rights

Depending on where you live, you may have certain rights regarding your personal information. These rights may include:

  • Access – the right to request a copy of the personal information we hold about you.

  • Correction – the right to ask us to update or correct information that is inaccurate or incomplete.

  • Deletion – the right to request that we delete your personal information when it is no longer needed.

  • Restriction or objection – the right to limit or object to certain types of processing.

  • Portability – the right to request a copy of your personal information in a portable format.

If you live in California, you may have additional rights under the California Consumer Privacy Act (CCPA/CPRA), including the right to know more about the categories of information we collect, how it is used, and how it is shared.

If you live in Canada, you may also have rights under federal and provincial privacy laws, including the right to withdraw consent where processing is based on consent.

To exercise any of these rights, please contact us using the details provided in the Contact Us section below. We may need to verify your identity before responding to your request to ensure your information is protected.

11.       Changes to This Policy

We may update this Privacy Notice from time to time to reflect changes in our practices, Services, or legal requirements. When we make updates, we will revise the “Last Updated” date at the top of this page.

We encourage you to review this Privacy Notice periodically so you remain informed about how we protect your information.
